Tour Operations Assistant

What You Will Get to Do

• Executive Support
• Prepare detailed metrics based documents for meetings with the Operations Team.
• Prepare meeting agendas, take detailed minutes, and follow-up on action items.
• Overflow of customer service calls when necessary.
• Travel Coordination
• Coordinate hotel, airline and bus contracts including monitoring deposit dates, utilization dates and final payment.
• Assist in managing logistics for student travel programs, ensuring alignment with company objectives.
• Research and development of future destinations, including but not limited to hotels, attractions, guides, transportation, etc.
• Ensure quality control of new tour set-up, travel data, registration and promotion information.
• Assist tour packet and pre-departure development.
• Assist with packing and shipping needs.
• Office Administration Assistance
• Oversee administrative tasks such as expense reporting, invoice processing, and supply ordering.
• Maintain organized records and filing systems, both digital and physical.
• Support the planning and execution of company events, meetings and workshops.
• Vehicle Management – registration, inspections, maintenance kept up to date and functioning well; vehicles cleaned (interior and exterior) ready for use at all times.
• Project Management
• Assist in tracking key projects, deadlines and deliverables.
• Collaborate with different departments to ensure timely completion of initiatives.
• Conduct research and prepare reports or presentations as needed.
• Confidentiality and Professionalism
• Handle sensitive information with utmost confidentiality and professionalism.
• Represent Leadership in a positive and professional manner at all times.

Skills and Qualifications

• High School Diploma or equivalent completed.
• Exceptional organizational and time management skills.
• Proficiency in Google/Microsoft Suites, and Canva is a plus.
• Strong written and verbal communication skills.
• Ability to multitask, prioritize, and adapt in a fast-paced environment.
• Experience in the tourism, hospitality or education industry is a plus.
